As communication has moved entirely digital, the email inbox has become increasingly important. Any number of users have access to send and receive job-related information from multiple platforms, and all of those correspondences collect in your one inbox. While entire projects have been managed through email, it creates a problem and a large effort to retrieve and redistribute those emails if project management personnel changes. HeavyJob Project Management is working to solve this issue with our new Job Inbox.
When you first access the Job Inbox, a new email address is created for you.
Once you are in the Job Inbox, the job-specific email address is available for you to copy and send at all times. As you receive emails to this email address, the subject, sender, and date received will all be shown, just like any other inbox you have. We show you the entire email as well and save those attachments into HeavyJob Project Management.
Automate The Process
Having the emails and attachments is the basic function of the Job Inbox. Taking it one step further, HeavyJob Project Management associates that email with the record of your choice, from RFIs, Submittals, and Purchase Orders to any custom log of your choice. You will no longer need to search in Outlook or on your downloads folder for that one particular document or email. With this Inbox, everything is contained on one screen.
You can create rules for your own email inbox that will automatically look for keywords or phrases relating to jobs, and your email rule can forward to that particular job’s email inbox. Job codes, a particular sender that only relates to one job, or using a quick step, macro, or flow, will allow you to forward emails or move them to a certain folder in Sharepoint or Outlook.
