This question comes up often in support calls from both new and experienced HeavyJob users:
“I have to manage multiple jobs, and I need to see how they are performing. Can you help me find a quick way to get this information?”
Important job data is being compiled in the background every time foremen submit new time cards. Getting that information out of HeavyJob is something we want to make easy for you. Let me introduce you to the Reports Plus Overview Reports. When I first learned about these reports, I was amazed at just how much data I could pull out of them, and how easy it was to customize it to fit my needs. Once the layout is arranged with the data headers that you need, you can create a template to quickly access this same report every day. The key advantage of the Overview report section over other reports in HeavyJob is that the Overview reports will search and consolidate data across multiple jobs, not just the one currently open in HeavyJob. This means these reports can be run from within any job.
I would recommend beginning by opening and viewing all of the Overview reports to see what each can do for you. The reports are organized in two sections: Summary Reports and Detail Reports:
Summary Reports will gather data from a big picture view. These would be more for an executive explanation of how your labor, equipment, and cost codes are performing by summarizing the information provided by time card entries.
Detail Reports will provide granular bits of detailed information, gathering time card entries based on the information you wish to find. For example, you can find every time card from any job that John Doe worked on between the week of July 4 through July 11th. If you were looking for a particular D5 Dozer, what jobs it operated on, and the material entries on a particular cost code on a certain date, you could find it in the detailed reports.
To the original point, the Job Analysis is an Overview Report that will quickly answer the question of “How are my jobs performing?” Access this report by finding the Overview header, and then clicking Job Analysis.
** If you are using HeavyJob.com, you can create report templates on the Web that can be shared. Click here to find out more.
Opening this module prompts you to select which jobs you need to include in your report. Select as many jobs as you need, and click OK select the jobs, and OK, again, to enter the Report.
Once the report has been launched, you will see two sections. The top section lists your jobs along with customizable data points showing actual, expected, budgeted, and $ variance for labor, equipment, materials, subcontractors, and job total. When you click on one of the jobs, in the top section, you will see information for that job populate below showing a daily analysis of time card entries, and a performance summary for each cost code.
The Job Analysis will save your view for the next time that you want to access this report. For both the top and bottom sections, you can use the “Custom Settings” buttons to add or remove database fields to your report. The Cost Code Detail button at the bottom will take you straight to the Cost Code Detail overview report to do further analysis.
If you right-click on any of the fields, you can export the report to excel, or you can refresh the data in case new time cards have been imported.
If you are not currently using HeavyJob.com or HeavyJob Mobile, then these reports may need to be enabled. You will want to turn this feature on so that you do not have to manually consolidate your jobs before running the report in the classic overview section. I recommend that if you do not have access to these reports that you should contact our support department to learn more, schedule time to turn on that function and install the component of the HeavyJob Data Manager that drives the reports.
