Setting up a job’s cost code list is a big piece of being able to track and manage that project well. The level of detail to track is often one of the biggest drivers to deciding how to code a project, but there are some other tools in HeavyJob that can help you keep your job organized in the field and the office.
In HeavyJob’s cost code setup screen, the Customize tab lets you see all the fields that may be helpful.
Exclude from Mobile will let you hide that cost code from your mobile users, so they don’t accidentally charge to codes. Those could be cost codes in a phase that hasn’t started yet, material purchasing or sub-codes, or overhead codes that end up cluttering the list when trying to code time.
The Biditem, Activity, Phase, and Other Description fields help organize your codes on a mobile device. By tapping Sort By, and selecting one of these fields, field user’s iPads will show each cost code listed under its respective header. As a bonus, when using the search, HCSS Field will search the cost code, cost code description, and the displayed header, so field users can search for a bid item/pay item, and find all the associated codes.
Biditem and Activity descriptions come over automatically from HeavyBid, but Phase and Other descriptions are available to enter additional information like bridge, cross streets, phase, area, self-performed, or any other information that may be useful.
Work Type and the Summary Sorts are a final great way to keep your cost codes organized. On mobile, they will function as filters to help users shrink the list of codes they are searching through. In the manager system, they are available for organizing and subtotaling some reports, most importantly the Cost Analysis report. Summary Sorts, Historical Activity, and Cost Code Tags are all available as an option on this report, which will let you see how a portion of the project is going.
